Overview
MailEssentials provides a number of tools that facilitate the management of incoming and outgoing emails. However, it is worth noting that MailEssentials is not a fully-fledged Email management platform as it is primarily an anti-spam and email security solution for on-premise mail servers.
This article gives an overview of the various features available under the Email Management node and the functionality provided by each.
Introduction
MailEssentisls comes with a number of useful Email Management tools which include:
- List Server: A newsletter and discussion manager
- Disclaimers: A disclaimer manager
- Mail Monitoring: Inbound and Outbound rule manager
- Auto-Replies: An auto-reply manager
The above Email Management features are configured by navigating to GFI MailEssentials > Email Management node.
The next section describes the capability of each of the above features in more detail.
Description
List Server
List servers enable the creation of two types of distributions lists:
- Newsletter - Used for creating subscription lists for company or product newsletters, to which users can either subscribe or unsubscribe.
- Discussion - Enables groups of people to hold discussions via email, with each member of the list receiving the email that a user sends to it.
The MailEssentials list server offers an easy way to implement an opt-in email discussion list with automated subscribe and unsubscribe links. Similarly, it enables email newsletter distribution with equal ease. It integrates with Microsoft Exchange and can use Microsoft Access or Microsoft SQL Server as the backend for its subscriber list.
Disclaimers
Disclaimers are standard content added to the bottom or top of outbound email for legal and/or marketing reasons. These assist companies in protecting themselves from potential legal threats resulting from the contents of an email and to add descriptions about the products/services offered.
With MailEssentials, you can add company-wide disclaimers to the top or bottom of an email. Text and HTML formats are supported. You can include fields and variables to personalize the disclaimer. You can even create multiple disclaimers and associate them with a user, group, or domain.
Mail Monitoring
Mail monitoring enables copying emails sent to or from a particular local email address to another email address. This enables the creation of a central store of email communications for particular persons or departments.
The email monitoring feature enables you to keep the central store of the email communications for a particular person or department by configuring their email to be copied to another email address. These emails can then be stored in Exchange or Outlook also making it possible to search within them.
Auto-Replies
Auto-replies enable the sending of automated replies to specific inbound emails. A different auto-reply for each email address or subject can be specified. Variables can also be used in an auto-reply to personalize emails.
